Rehearse or write down your message before recording it. Remember that old saying “practice makes perfect?” It’s certainly true when it comes to creating an electronic greeting. The more you’ve rehearsed, the easier the message will be to restate. If you don’t have time to practice, writing down the greeting before recording it – and then reading it aloud from the paper – may help you stay focused on the correct wording.

In certain situations, it’s a good idea to let a call go to voicemail. If you’re in a loud area, unable to spend 10-15 minutes talking, or are otherwise distracted, don’t answer. Keep it simple, concise and to the point. Callers won’t need your life story, and won’t want to wait around for a 2-minute greeting to end just so they can leave a message. Don’t hide the details, tell them where you will be, when you will be there, or when you won’t be there, and how to get in touch.
