Do you speak a second language and serve customers in an area that primarily uses a language other than English? Make it known that you speak both languages. Start the voicemail with the most dominant language spoken in your market followed by the same message spoken in the secondary language:
Don’t leave customers and colleagues on edge. If you say you’re going to call them back, follow up. If you tend to fall behind in this area, encourage them to email you or reach out in another way. Better yet, learn how to forward voicemail to email so you can access the message anywhere.

All of our representatives are currently helping clients [insert goal such as, ‘achieve 40% growth through streamlining HR’] and are unable to take your call. Instead of putting you on hold and taking up your valuable time, please leave your name, company, and phone number and we’ll give you a call back ASAP. Thank you!”
In sales, immediate communication with your prospects and current customers is important. Being available to answer questions or further negotiate a deal allows your clients to feel secure and more apt to purchase from you. But what if you can’t answer the phone when they call? Make sure you have a voicemail system set up so your clients have the opportunity to leave you a message.
