45. Hi, this is [X department] at [X company]. We’re not able to take your call right now, but if you leave a quick message after the tone, our next available representative will call you back shortly.
You don’t have to spell out every single thing that you think they might want to know. Have some faith that your callers will be able to figure things out on their own. Be natural but informative.
The basic rule of thumb is that callers should hear one of two things when they first connect with your voicemail — either an apology for not being able to answer the call or a “thank you” for having called. You can do both if you prefer, but keep it short and to the point.
Here are some great examples of professional voicemail greetings that you can use in your business!
"Hi, you've reached Phil Gerbyshak. I'm not available to take your call right now, however your call is very important to me. Otherwise, leave your name, number, a brief message, and your favorite 80s video game after the tone, and I'll call you back as soon as I can. My favorite 80s video game is (I have lots, so I change up the game). Thanks for calling. Make it a great day!" Hey, now that's pretty good. I let the caller know they're important to me, I injected some energy into the situation and put them at ease by askin them to share their favorite 80s video game, and I shared mine, and I closed with energy: "Make it a great day!"
37. Hi, this is [company name]. Sorry we missed your call. Leave a message and we’ll get back to you shortly.
When people call your main company phone number, a professional sounding greeting helps you welcome callers, creating a great first impression and providing them with any instructions or information you want to share.

The next key element is giving a short reason or apology for being unable to take the call. Make sure to say something quick and concise like: “We are sorry to miss your call, but we are assisting others or away from our desk.”
Invite the caller to leave a detailed message. If there is certain information you need, make sure to include that information here.
It’s frustrating enough to reach a voicemail… being helpful and friendly will go a long way and reduce annoyance!
If the company greeting is any good, it will typically be “Thank you for calling.”
