Using concise and simple words in your scripting helps ensure callers can comprehend what is being said. Although a complete on-hold message can be quite lengthy, it should include concise and to the point single messages. Aim to get each message across in around 35 to 40 words. Remember, what may read great in written word doesn't necessary sound great said out aloud.
1. "Hi, you've reached [your name] at [your company]. I'm unavailable right now — probably helping [type of company] get [X results, e.g. ‘double their leads in 60 days,' ‘hire the best and brightest engineers,' ‘convert 40% more customers.'] Leave your name and number, and we'll discuss how your company can see similar results."
When choosing Always Forward or Selectively Forward, check the Send to Voicemail check box to forward all calls to an internal voicemail. The Send to Voicemail check box is disabled when an external number is entered.

Now, “Hello” is a great way to begin a greeting, but it does not a greeting make. If your business is answering the phone with “Hello” alone, call a company meeting pronto and nix that nuttiness. In fact, a plain “Hello” can be confusing to callers, and it’s likely to make them question whether they’ve dialed the correct number.
4. Introduce yourself by name when you call someone else. When you make a phone call, the person on the other line might not know who you are. If they answer with a “hello?” always start by saying who you are, even if they are a close friend or family member. They might not have caller ID, or they might not have your number saved. Try saying, “Hey Mike, it’s Ruby calling.”
