Also known as an auto attendant, IVR systems provide callers with a menu of options to request information or complete basic transactions. It’s mostly a self-serve process that a caller navigates via voice or their keypad, but it usually provides a path to speak to a real employee.
.
Telling a quick joke or including a little more information can keep you safely within the 20-second timeframe while letting the caller understand a little more about you.
Many people have a plain vanilla greeting, and often you're not even sure if you reached a human being or just a machine. "Hi, you've reached 555-1212. Leave a message." Who am I calling, and why should I care enough to leave a message with you?

To provide as much helpful insight to businesses as possible, we've compiled the top must-have information that should be included in your office's temporary voicemail greeting. 1. Your voicemail should be timely and relevant to the situation at hand. 2. Indicate if you’re working remotely or changing office hours temporarily. 3. Set clear, reasonable expectations for your callers about when they should expect to hear back from someone. 4. State clearly what types of matters are urgent and give examples of issues that are not. This way, patients and callers can have a good understanding of what to expect about call-backs and reduce unnecessary follow-up calls. 5. If you have made disruptions to existing appointments, you should note this, as well as how you plan to reach people to reschedule.
Integrated voice response is an increasingly accessible option for businesses to automate common client interaction processes. Callers can interact with business systems via touch tone or voice entry. For a successful IVR deployment, having engine prompts that are professionally recorded and managed is essential. At Holdcom, we’ve helped thousands of businesses implement and enhance simple to complex call processing schemes with winning results. "Hi, you've reached Phil Gerbyshak. I'm not available to take your call right now, however your call is very important to me. Otherwise, leave your name, number, a brief message, and your favorite 80s video game after the tone, and I'll call you back as soon as I can. My favorite 80s video game is (I have lots, so I change up the game). Thanks for calling. Make it a great day!" Hey, now that's pretty good. I let the caller know they're important to me, I injected some energy into the situation and put them at ease by askin them to share their favorite 80s video game, and I shared mine, and I closed with energy: "Make it a great day!"
3. Use informal language with family and close friends. There’s no need to be professional when you are talking to people that you know well. Use slang language and words if they will know what you mean. However, if you are talking to someone older, like a grandparent, they may not be up to date on all of the slang language that you use. You can say things like, “Hey, what’s up?” and “What’s happening?”
