Creating a voicemail greeting might not be fun, but with the scripts I’ve shared, you should have an easier time. No need to practice time and time again — simply plug in your name, company title, and other details, then read it out loud to your phone’s voicemail greeting recorder. With a professional greeting, you’ll continue nurturing prospects even if you don’t pick up the phone.
If you are recording a voicemail message for business, be sure you include your name and your company’s name, so people know who they are calling and were they are reaching them. If you do not include the business name, they may think they have mistakenly called you at your personal number. Step One: Introduction. Start with an upbeat greeting that includes the name of the person you’re calling: “Hi, Tim!” “Hello, Susan!” “Good morning, Tom!” Then, introduce yourself by giving your name, company name if applicable, and telephone number. You will be asked to delete your current Voicemail greeting. Click on the ‘Yes’ button that appears on the screen if you want to remove that. You can save your new recorded Voicemail greeting or can use the default recorded option. Wait and hear the new Voicemail greeting message that the instructions speak out. If you want to keep that recording as your Voicemail greeting, then save it. Or you can re-record the message to get a different greeting.

To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. Do invite the caller to leave a message. Do tell the caller when they can expect a return call and actually follow through within that timeframe.
