In an ideal world, voicemail would be unnecessary. There would always be someone available to take customer calls and no one would complain about their calls not being returned and/or rejected. But of course, this perfect world isn’t possible. That’s why it’s important to give your callers options when you are unavailable. What happens here is when you apologize and sound genuine in your tone, your prospects would understand and leave their contact details for you to follow with them.
“Thanks for calling (insert company name), where your dream is our destination. I’m helping another customer at the moment, but please leave your name and number, and I’ll return your call.”
Once you thank your customers for calling, state your name and the department. Make sure to speak clearly so the caller knows they called the right place and can understand what is being said. Don’t rush through in case the caller wants to write the information down.
