If you started your company more than a year ago, it’s probably time to change your voicemail script. Your recording should match the brand, tone, and voice of your company — just as though a caller were speaking to a member of your team.
An integral part of Job Search Central is the effective use of voicemail to take your calls when you are not available. Imagine your future boss being greeted by your voicemail greeting and then answer this question: will it enhance or detract from what they think of you? If it is the latter, change it. Otherwise, your future boss may end up being someone else's future boss.

Sound upbeat in your message. When recording, be sure to say your message with a smile on your face. It’s obvious when people aren’t happy in their message. Since your work revolves around keeping happy customers, do your part by keeping a happy-sounding voicemail message.

Please leave us your name, number, the reason for your call and the best time to call you back – we don’t want to miss you again. To clear any customers doubts or expectations, make sure to mention on your voicemail when you’ll be available. Don’t say that you will “try” to return their call. Instead, offer them a realistic timeframe in which they can expect their call to be returned, so they know what to expect - whether it will take you 24 hours or a week to get back to them. This will eliminate your customer’s worries about your timeliness and encourage them to wait for your reply instead of heading over to your competitors.
Many busy businesses utilize auto attendant greetings to make a great first impression, however, if your business relies on the personal touch of a live receptionist, it is important to have a plan in place when that position is unstaffed. Make sure your voicemail greeting contains the useful information that your receptionist would normally provide. This could include: location & directions, office hours, website URL, or social media info, as well as any pertinent company information.

Once I listened to my original recording, I knew it was time for an upgrade. I asked around for some tips about writing and recording voicemail greetings. Here's my process: What's wrong with this voicemail message? "Hey, What's Up?" isn't going to make a good impression for business calls. "Umm..." never makes you seem confident or professional, either. "I'll get back to you whenever I can" really means, "I'm probably screening your call and I won't call you back." "BEEP!" My message was cut off, and for six years, I didn't know and no one told me. Ouch. How I fixed it: 2. Then, I wrote down what I wanted to say and read it out loud a few times until I was satisfied with the flow. 3. I rehearsed and recorded my voicemail script a few times to hear how I sounded. (I tend to talk relatively quickly, so I wanted to make sure the message didn't sound rushed.) 4. For the final recording I recorded my message while smiling so I sounded happy and approachable. 5. I checked my final recording by listening to my voicemail message from both a cell phone and a landline, and also asked a friend to listen for a second opinion.
