Do not be in a hurry while recording your voicemail. When recording your voicemail, it is important to speak slowly and clearly. It is also should be evident when you left the voicemail. Your voicemail should not appear to be a single gigantic word to the callers. Speak your words clearly and pause at the points you need to pause.
The most professional voicemail message should include a formal tone and specific instructions. For example, you may say “Hello, you’ve reached [your name], [job title] at [business name]. I’m sorry to have missed your call. Please leave your name, contact information, and reason for calling so I can get back to you promptly.”

Creating a voicemail greeting might not be fun, but with the scripts I’ve shared, you should have an easier time. No need to practice time and time again — simply plug in your name, company title, and other details, then read it out loud to your phone’s voicemail greeting recorder. With a professional greeting, you’ll continue nurturing prospects even if you don’t pick up the phone.
For many small businesses, it may not be possible to pick up the phone immediately. Other times, you may receive a call after hours or during a busy time when no staff is available to assist a caller.
Users often don’t invest enough time into their messages, resulting in incomplete, unprofessional, or otherwise under-whelming greetings. Sure, crafting a greeting doesn’t sound all that complicated; however, there are a number of pitfalls users can fall into—i.e. informality, terseness, sincerity, lack of direction, and more. While none of these sound too catastrophic, they are often interrelated. As such, they tend to worsen any problem. For example, humor can cause informality, worsen ambiguity, and weaken sincerity. That being said, users should strive to avoid ALL these pitfalls.
To clear any customers doubts or expectations, make sure to mention on your voicemail when you’ll be available. Don’t say that you will “try” to return their call. Instead, offer them a realistic timeframe in which they can expect their call to be returned, so they know what to expect - whether it will take you 24 hours or a week to get back to them. This will eliminate your customer’s worries about your timeliness and encourage them to wait for your reply instead of heading over to your competitors.
