I have a confession to make: I haven’t recorded a new voicemail greeting since 2014. In the past four years, I (hopefully) have become more articulate, poised, and self-assured. But hear my voicemail recording, and you’d think I was still new to the work world, a little unsure of myself — and probably not an authority. Obviously I need toupdate it. And if you haven’t changed your voicemail greeting in over a year, you’re likely in the same boat. After all, a professional voicemail recording boosts your credibility, makes you seem more competent, and encourages whoever’s listening to it to continue the relationship. A relatively unprofessional one — like mine, for instance — does the opposite: It encourages prospects, recruiters, and potential connections to run in the other direction. With that in mind, I’ve written 18 unique voicemail greetings for every situation. Pick your favorite, practice a few times, then record your new voicemail.
When you have finished recording your professional voicemail greeting, you may want to have a close friend call your phone number so you can listen to the outgoing message together. That way, you can get her opinion of the voice message before other callers are able to listen to it. If your friend recommends some changes for you, these should be easy to make, because most systems will allow you to delete your outgoing message and re-record it as many times as you would like. Many busy businesses utilize auto attendant greetings to make a great first impression, however, if your business relies on the personal touch of a live receptionist, it is important to have a plan in place when that position is unstaffed. Make sure your voicemail greeting contains the useful information that your receptionist would normally provide. This could include: location & directions, office hours, website URL, or social media info, as well as any pertinent company information.
