What's better than one of these not-so-funny voicemail messages? A voicemail greeting that's well written and professionally recorded. The most important thing to remember when writing a new voicemail is don't waste the caller's time. A concise, informative voicemail may seem "square," but its better than irritating and alienating potential business opportunity. Caller ID also played a role in the decline of calls answered by making it easier to know which calls to reject.
The hiring manager loved your error-free application, and really liked the initiative you showed when you came in to follow up on your application. They have a really good feeling about you and are looking forward to having you come in to interview for the position. There’s even talk about hiring you on the spot! So, the manger dials your number and…ring….ring….ring…”We’re sorry, the voicemail box you are trying to reach is full. Please try again later.” The manager starts to think that you aren’t taking this very seriously and moves on to the rest of the applications, as there isn’t any time to waste with this job needing to be filled quickly.
4. The Urgency. When we ratchet up the urgency by adding a timeline (and even a little mystery), we astronomically increase our odds of someone dialing us immediately after getting the message.
As we iterated in 5 Voicemail Message Myths, when you are leaving a message for your potential leads, there are certain rules everyone should follow. Those myths have been studied and show that dismissing them result in fewer callbacks. Nonetheless, few studies have been dedicated to voicemail greetings. Therefore, you should think outside of the box and do something different. A comedic voicemail like this famous greeting from George Costanza in Seinfeld is a great example.
A good voicemail greeting is short and professional, lets people know that you’ll get back to them, and invites callers to continue engaging with a call-to-action. You should also show your personality if you’re in an industry or role that allows that. If your industry is more conservative, however, you’ll want to keep humor and personal touches to a minimum. A greeting Your name Your company A simple explanation for missing the call (e.g. you’re away from the phone or are on holiday) A rough estimate of when you’ll get back to the person An alternative person to reach out to (if you’re out of office) An alternative mode of communication (if you prefer email or text) A call-to-action such as “Leave a message” or “Send me an email at [email protected]”
As the odds of receiving a call back from your voicemail message are already low, you need to be very specific about what you say in your voicemail to give you the greatest chance of getting a call back. What you absolutely do NOT want to do is make yourself sound like a salesperson making a cold call. Instead, you want to sound like a very confident business colleague who deserves the respect of getting a call back.

6. The Referral. A referral sales voicemail works when you are referred to a client by a third party. If you are reaching out to a prospect you haven’t spoken with, you might start by mentioning that you were referred before clearly stating the intention of your voicemail message.
