With Web- and mobile-based communications taking over as the dominant means of contact for many customers, voicemail is on its way out. Quite simply, consumers have found better ways to stay in touch.
Phones are assigned to people or to office names. For example a phone could show “MAU Plaza” or it could show a user’s name. If the phone is assigned to you, it will have your UNI email address associated with it. There are various kinds of voicemail greeting options in the new UNI Voicemail system. When you initialize your voicemail box for the first time, the system has you set up two of your default greetings, which consists of your (external) personalized greeting and your name greeting. You can access your greetings via phone or via the UNI voicemail web portal.

A word of warning: These greetings will not do you any favors if you’re in the midst of a job hunt or work in a conservative industry. Always remember your target personas. If there’s a chance they won’t appreciate your sense of humor, opt for a straightforward greeting instead. “This is Bond. James Bond. Okay, it’s really [your last name]. [Your first name] [your last name]. I’ll get back to you as soon as I’m done helping M16 save the world — which will probably be tomorrow at the latest. Have a good day.” “Hmm. Gryffindor … No, Ravenclaw. Yes, you definitely belong in Ravenclaw. *Pause.* Okay, you haven’t reached the Sorting Hat — it’s the voicemail of [your name]. Please leave your name and number (and just for fun, the Harry Potter house you think you belong in) and I’ll return your call as soon as possible.” “Hello! You’ve gotten the voicemail of [your name]. Leave your name, contact info, and the answer to the eternal question ‘Which came first, the chicken or the egg?’ Anyone who gets it right will receive a call back.”
Translation: If you sound unsure, then your current clients, prospects, and partners won’t be so sure about you either.
Your voice mailbox has six types of greetings. The two greetings most users set are: The Standard greeting that callers hear before they leave you a message. The Alternate greeting that tells callers that you will be away from work for an extended period of time, such as when you take a vacation. Press 4, Setup Options. Press 1, Change Your Greeting. Press 4 to play all your greetings.
Many busy businesses utilize auto attendant greetings to make a great first impression, however, if your business relies on the personal touch of a live receptionist, it is important to have a plan in place when that position is unstaffed. Make sure your voicemail greeting contains the useful information that your receptionist would normally provide. This could include: location & directions, office hours, website URL, or social media info, as well as any pertinent company information.
