Make sure to remind your caller to leave their name, number and the details of why they are calling, so you can ring them back professionally and constructively.

Please note that if you record an unavailable greeting, it will be used instead of the default message with your name recording.
As mentioned above, alerting callers that they won’t be getting an immediate call back is of upmost importance for an entity’s reputation and a caller’s satisfaction.
Don’t include the date unless it’s completely necessary. 16 of the messages I heard last month had the wrong date—one of the messages had a date over 2 months old!
Voicemail greeting is a short message that is played before a caller records a message. Via the greeting, you can inform the callers your information, like when you will be available, other methods to contact you, or other options that the caller can use to receive assistance.
When you want callers to leave a message, make sure your voicemail greeting indicates that. Be sure to keep your greeting short and direct, and include the info you want to capture.
Set the right tone for the call by introducing your business in a welcoming manner. The message can be played either by itself or as an intro to IVR prompts.

Of course, your phone rang because someone wanted to get in touch. They got your voicemail because you were busy or just not there. If you section off a block of your day to check voicemails, let the caller know so they can expect a time for you to return their call. People will leave more details if they know someone will check it later.
Voicemails need to maintain a professional consistency that’s aligned with the entity it’s representing. That said, the structure can vary depending on the situation. There’s no template set in stone. In fact, trite and generic should be off the table. The goal should be a balance of uniqueness and practicality.
