Since I pride myself in being responsible, if I don’t receive a return call I have to assume I wrote down wrong number. If I were irresponsible I would just blow it off and not care. But if I wrote down the wrong number I have a responsibility to get a hold of this person. This extra work combined with wondering if it’s the right number, leaves a bad taste in my mouth.
The difference between writing a script and writing for print is that scripts must be written for the ear and written for effective delivery by voice talent. It must be written in a conversational tone. When you create a script that’s listenable, your callers will better understand your business.

Smile. When recording your greeting, smiling will put some enthusiasm in your voice. Your callers will pick up on it and feel more comfortable when leaving you a message.

Keep it simple, concise and to the point. Callers won’t need your life story, and won’t want to wait around for a 2-minute greeting to end just so they can leave a message. Don’t hide the details, tell them where you will be, when you will be there, or when you won’t be there, and how to get in touch.
Set the number of rings you'd like callers to hear before they hear your voicemail greeting.
Business professionals are also encouraged to keep their voicemail organized. Delete any messages from the office phone that are no longer necessary after calls are returned, and write down any phone numbers that are needed at the time the message is listened to. If modern voicemail service is utilized, such as that supplied by Voicemail Office, in which voicemail and fax messages are received in a staff member’s email inbox, the individual should write a short explanation in the body of the email if forwarding any voicemail messages to other staff members.
