Take the time to listen to calls, call back if necessary, use your cell phone when you’re out of town, and take care of anything actionable listed in the messages instead of watching your mailbox fill in. Record a voicemail that is as unique as your business, and add a human touch when creating the message. Encourage your caller to leave a message describing what their needs are.

When someone reaches your voicemail, it’s important that you help them confirm that they have reached the right person by providing all of the relevant information that they will need. Who have they reached? Did they contact the right person and the right business? Should they leave a message? When will you get back to them? Is there a better time for them to call?

No matter what the change is, make sure that if the altered information appears in your voicemail greeting, that you update the recording as soon as possible. Don’t mislead customers through mistaken communication.

Recording the message yourself doesn’t mean it can’t be done professionally. You can still get studio time with an experienced audio engineer. If you only check and return messages once a day or once a week, let your caller know. This will avoid multiple messages by the same caller.
