A monotone voicemail message will not only be difficult to understand, but it will also potentially lose your caller’s interest quickly.
The voice mails I receive in response to this greeting allow me to use my time most productively. I learn the purpose of the call and when they are available for a return call. This allows me to prioritize when I need to return calls and helps me be better prepared for the ensuing conversation.
People have short attention spans these days, and you should always craft your communications for the lowest common denominator with something as universal as your voicemail.

As the old saying goes, practice makes perfect. Read your voicemail script aloud several times in order to get the flow and annunciation correct. Soon, you’ll be a voicemail pro!

If your business is off for a holiday, it's a common courtesy to update your voicemail to acknowledge the closure. Mention the closure in the beginning of the message, convey when your business is reopening, and don't forget to wish the callers a happy holiday if the occasion calls for it. If you're away from your office, check your voicemail remotely to keep up with incoming messages if necessary. Or get voicemail to email capabilities set up on your phone system. Thank you for calling Merlow Plumbing. We are closed for Christmas from December 24th, 2015, until January 2nd, 2016. Our normal business hours are Monday through Thursday, 8 am - 6 pm. How many times have you gone through the following scenario: While working with a customer or engaged on an important call, you receive a new voicemail. You listen to the message, hoping to understand the caller’s name and issue correctly. And when the caller whizzes through the digits of their callback number faster than you can write, you have to go through the entire message again. Once this exercise has been completed, you call the person back, only to get their voicemail.
Really think about it – You’re out of the office, it’s after business hours, or you’re otherwise indisposed, whatever the case may be, your voicemail is now tasked with representing you (and/or your company). No pressure, right? Your voicemail message is a platform that represents you to callers; therefore it’s ABSOLUTELY crucial that your message is perfect.
