Phones are assigned to people or to office names. For example a phone could show “MAU Plaza” or it could show a user’s name. After helping tens of thousands of companies set up voicemail systems, we’ve learned that there is no set of rules defining what makes a great business voicemail, but there are definitely some key points that you should aim to hit. Before you hit the record button for your voicemail message, take some of these tips into account:
16. Hi, you’ve reached [X Business Name]. Our regular business hours are [State opening hours]. If you need to reach someone immediately, please call [contact’s name] at [cell phone number]. If not, leave your name and contact information and a representative will get back to you when we re-open.
To recover a deleted message, tap Deleted Messages, tap the message, then tap Undelete.
4.) Dear caller, you have dialed the number of the joint practice xyz. Currently all our lines are occupied. We ask for your patience. You will be connected to the next available assistant as soon as possible.
This is where a professional voicemail greeting is essential for giving the right impression and information; encouraging the caller to leave you a message, and informing you of what you may have missed.
While covering all of the relevant information, aim to keep your voicemail to about 20 seconds. You definitely should not ever record a business voicemail longer than 30 seconds, and anything less than 10 seconds will typically mean that you are either speaking too quickly or aren’t providing all of the required information.
27. Hey, this is [your name], but you should know that already since you called me. I’m obviously not here right now, so I won’t patronize you by telling you what to do after the tone.
