To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. Do invite the caller to leave a message. Do tell the caller when they can expect a return call and actually follow through within that timeframe. Business professionals are also encouraged to keep their voicemail organized. Delete any messages from the office phone that are no longer necessary after calls are returned, and write down any phone numbers that are needed at the time the message is listened to. If modern voicemail service is utilized, such as that supplied by Voicemail Office, in which voicemail and fax messages are received in a staff member’s email inbox, the individual should write a short explanation in the body of the email if forwarding any voicemail messages to other staff members.
The basic rule of thumb is that callers should hear one of two things when they first connect with your voicemail — either an apology for not being able to answer the call or a “thank you” for having called. You can do both if you prefer, but keep it short and to the point.
You can allow callers to press 0 and be transferred to another phone number, of your choosing, when they reach your voicemail greeting.
Example: 'Thank you for calling [insert name here]. We're sorry we couldn't take your call this time. However, if you'd like to leave us a voicemail we will get back to you within [for example] 30 minutes of receiving this message. Alternatively, if you'd like to reach out by email you can do so at [insert email address]. Again, thank you for calling [insert company name]. We look forward to your message.'
