Show that you’re human! Not everything in business needs to bland and boring. Add some personality to your voicemail while still maintaining professionalism. Do you have a fun fact about yourself or something unique to you? Share that in your voicemail and then ask for the customer to leave you with a fun fact so that you can call them back.

If the you haven't changed your personal greeting, a default system greeting will be played for callers. For example, "Please leave a message for John Smith. After the tone, please record your message. When you finish recording hang-up or press the pound key for more options."

When you receive a voicemail, a notification will alert you on Skype for Business apps, desktop phone, and email app. If the caller hangs-up before leaving a message, you will receive a Missed-Call Notification email with the caller information (if it was not blocked). You don’t have to spell out every single thing that you think they might want to know. Have some faith that your callers will be able to figure things out on their own. Be natural but informative.

A good voicemail greeting is short and professional, lets people know that you’ll get back to them, and invites callers to continue engaging with a call-to-action. You should also show your personality if you’re in an industry or role that allows that. If your industry is more conservative, however, you’ll want to keep humor and personal touches to a minimum. A greeting Your name Your company A simple explanation for missing the call (e.g. you’re away from the phone or are on holiday) A rough estimate of when you’ll get back to the person An alternative person to reach out to (if you’re out of office) An alternative mode of communication (if you prefer email or text) A call-to-action such as “Leave a message” or “Send me an email at [email protected]”

We’ve chosen it because the words chosen are likely to be easy for most non-native speakers to pronounce. So in our experience, this is the best voicemail greeting script! make sure you use the correct word stress in the multi-syllable words in your voicemail greeting.
To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. Do invite the caller to leave a message. Do tell the caller when they can expect a return call and actually follow through within that timeframe.
