Whether you’re out for the day or are off for the week, the first rule of an out of office voicemail greeting is: let callers know when you’ll be back! You’ll save them the frustration of continuing to call and yourself the hassle of listening to redundant voicemails. It’s also a good idea to set the expectation of whether you are answering messages while you’re away, and who they can reach for assistance in your absence.

It’s as much a truth with residential phone service as it is with business communications, though those numbers are much lower. Voice over Internet Protocol (VoIP) phone service provider Vonage reported in April that voicemail deposits among its residential customers had dropped by 8 percent since October 2013, and retrieved messages were down 14 percent.
To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. Do invite the caller to leave a message. Do tell the caller when they can expect a return call and actually follow through within that timeframe. Do tell the caller about any applicable alternative options of contact and information- website, live chat, email, social media, or emergency numbers. Voicemail Greetings 101
Don’t be too hard on yourself. Chances are, that voicemail that you’ve recorded and deleted thirty times has been just fine. Your main goal is not to get in the way of the caller leaving a message, which is exactly what can happen if you overthink it or drone on too long.
When you meet somebody for the first time in person, you can judge and interpret them on their gestures, body language, facial expressions and voice. However this isn't so easy over the phone.
