Mailbox greetings play when a caller reaches a user's mailbox. There are two greetings: one that plays when the user's phone is busy and the other when they don't answer or when they have their phone in Call Forwarded Always to voice mail. The default no-answer greeting plays a message recorded by the user. A typical user-recorded greeting would identify the user and inform callers that they are unable to answer their call� example: "Hello. You have reached John Doe. I am in today but missed your call. If you would like, please leave your name, telephone number and message at the sound of the tone and I will return your call as soon as possible. Thank you."

Once you have your message, you need to actually record it. How many times have you gone through the following scenario: While working with a customer or engaged on an important call, you receive a new voicemail. You listen to the message, hoping to understand the caller’s name and issue correctly. And when the caller whizzes through the digits of their callback number faster than you can write, you have to go through the entire message again. Once this exercise has been completed, you call the person back, only to get their voicemail.
However, do not waste the caller’s time. They may hang up if they are forced to listen to a needlessly lengthy and uninteresting voicemail greeting.

To improve a a business voicemail greeting, keep these eight rules at the forefront of the creative process: Avoid turning customers off with overused and impersonal phrases like “your call is very important to us..." Avoid leaving customers unsure by not immediately telling them the business, department, and/or person they’ve reached. Avoid leaving customers confused with too many details and complications; just keep it simple. Avoid messages longer than 25 seconds. Do apologize for being unavailable at the moment. Do invite the caller to leave a message. Do tell the caller when they can expect a return call and actually follow through within that timeframe. Put some thought into your message before you hit “record.” It takes very little time to write a script for yourself to read as you record your greeting. Reading off a script eliminates unnecessary pauses, “ums” and “ahs.”
