Whether you recognize it or not your recorded voicemail greeting makes an impression on everyone who hears it. A professional greeting can make a positive impression, a goofy greeting can make a negative impression and an automated greeting could be viewed as impersonal and inconsiderate. In this lesson I will share some basic things you can do to record an impressive voice mail greeting.
Below are examples of excellent professional voicemail greetings for various situations to help you get started in creating your own perfect greeting! For each, we’ve included helpful tips, a sample voicemail greeting script, and an audio recording. The greetings are grouped by company greetings, department / team greetings, and personal business greetings. These greetings are likely longer than what you would want to use in real life – but our goal is to help you generate ideas to help you create your own!
“Hi, you’ve reached the desk of (your name). I’m currently out of the office on vacation and will return on (insert date). If you need immediate assistance, please call my assistant, (insert assistant name) at (insert assistant’s phone number). Otherwise, leave your name and number, and I’ll get back to you when I return.”
Responding to voicemails is time-consuming. Fortunately, with the right greeting, you might be able to save yourself some hassle. If you don’t have an auto attendant, you can give callers the information they are looking for with your voicemail greeting. Of course, this means that your greeting may be a little lengthy, but that can work in your favor as callers will only stay on the line to leave a message if they still need assistance.

Whether it’s an out-of-stock product, a canceled event, or social media snafu, there are times when your business may see an influx of frustrated callers. While it is important to address their concerns head-on, you may not be able to answer each call as it’s received. Make sure you use best practices for dealing with angry customers, and that your voicemail greeting sets the appropriate tone. Avoid defensive language, validate their concerns, and keep them informed as to how you are handling the situation.
You can choose where you would like to store your voicemail and fax messages—in the Calling User Portal or to a specified email address as a .tiff file. 1
When recording, choose a quiet area, speak clearly, and use your full name (first and last).

Important: In some countries or regions, deleted messages may be permanently erased by your carrier. Your voice messages may also be deleted if you change your SIM card.
