As a professional business, in no way should you ever resort to leaving one of those generic, pre-recorded, “No one is here to take your call” messages that the phone company often provides. Record a greeting yourself, or have one professionally done for you. If you choose to record a greeting yourself for your office phone, there are a few simple keys that you should keep in mind:

Choose your busy greeting from the drop-down menu next to If busy use greeting from: System—This plays the system default greeting. Personal—If this option is selected, choose the file to upload.
As mentioned above, it is extremely important to have a voicemail message that is easy to understand. However, there is also the matter of word choice. You must ensure to give attention to what your words are in your voicemail greetings. There can be certain words used that may trigger your customers. Though you did not mean what they understood, it will still bring a bad name to your company’s reputation. Your choice of words can affect significantly, so make you give close attention to your words.
Turn this feature on via the account center to hide your name and number on all calls you make. You can also hide your number on a per-call basis by dialing *6 7 before making a call.

We don’t want to take up your valuable time, so please leave us your name, phone number and message after the beep and one of our representatives will personally assist you within the next 24 hours. Note that the secretary has asked for the reason for calling so she can prioritize the patients who need the most help. She’s also keeping it short and to the point.
