I have a confession to make: I haven’t recorded a new voicemail greeting since 2014. In the past four years, I (hopefully) have become more articulate, poised, and self-assured. But hear my voicemail recording, and you’d think I was still new to the work world, a little unsure of myself — and probably not an authority. Obviously I need toupdate it. And if you haven’t changed your voicemail greeting in over a year, you’re likely in the same boat. After all, a professional voicemail recording boosts your credibility, makes you seem more competent, and encourages whoever’s listening to it to continue the relationship. A relatively unprofessional one — like mine, for instance — does the opposite: It encourages prospects, recruiters, and potential connections to run in the other direction. Your voicemail is important. Keep in mind, this is essentially one of the first impressions the hiring manager will have from you. You need to make sure your voicemail is as professional as possible. Whether you are trying to be funny, trying to show off your singing abilities or shouting in the car with the windows down, chances are the hiring manager won’t be impressed. Go into a quiet room and record a simple, “Hi, you’ve reached Kim Costa. I’m sorry I missed your call, but if you please leave your name, number and a brief message I will get back to you as soon as I can. Thanks!” You really can’t go wrong with this. Don' let background noise do the talking for you. Ambient noise on your recording could be sending the wrong message to your clients. The sound of your kids arguing in the distance could be the sign of a distracting work environment. Clinking glasses and restaurant chatter may leave the impression that you don't take your work seriously. When you record your voicemail greeting choose a quiet spot free from interruption, so your message is the only thing callers hear. It's also good to avoid large, cavernous spaces where sound verberates.

We’re all familiar with this type of voicemail greeting. Simply put, a caller reaches you by dialing your number or extension directly. For an optimal personal voicemail greeting, be clear about who you are, the team you’re on, and when the caller can expect a callback. Unlike company and department voicemail greetings, you may not be able to configure a greeting for open and closed business hours. If that’s the case, use a general voicemail greeting that accommodates both scenarios.
8. “Thanks for calling [your name] at [your company]. I didn’t mean to send you to voicemail but I am either on the line with another client or on the go. Leave your name, number, the reason for your call today and the best time to call you back. I’ll speak with you shortly! ” Your caller probably wanted to reach you, not your voicemail. Advise your caller that you’re simply on the line with another caller and you’ll be right with them.
While they are listening to your voice, they are internally deciding whether or not it is worth their time to continue or hang up. Look at your voicemail message as its own short advertisement.
“Hello! You’ve reached the voicemail of [your name], [your job title]. I’m currently either away from my desk or on the other line. Please leave your name, telephone number, and a short message after the beep, and I’ll be sure to get back to you as soon as I’m available.”
In certain situations, it’s a good idea to let a call go to voicemail. If you’re in a loud area, unable to spend 10-15 minutes talking, or are otherwise distracted, don’t answer. Recruiters who cold-call candidates will understand that you’re simply unavailable – but make sure to return calls in a timely manner. If possible, call back during regular business hours.
