“Hi! You have reached [your business]. All of our staff are currently busy helping other callers. We will return your call within two business hours. Thanks!”
The transcribed text is expected to be approximately 85% accurate, which means eight (8) words out of every ten (10) should be translated correctly. Since the voice mail transcription is done by an automated program, accuracy depends on several factors, including the caller’s accent and noise levels during the message recording. Names and nouns may not translate accurately. To ensure the receipt of a message, a copy of the .wav file “audio” is sent along with the text transcription. English and Spanish. Other languages will result in an error message, but voice mail will be attached in the email notification. In the email version, you will see ellipses (three periods) after the last successfully translated word if the next word or words cannot be translated successfully. You may also see question marks next to words that the transcription did not understand. To ensure receipt of a message, a copy of the .wav file “audio” will be sent along with the text transcription. How do I know who called if the system incorrectly transcribes the caller’s name? You can still listen to the audio version attached to the email message, or just listen to voice mail over the phone. One of the rules you should remember is to speak a bit slowly and clearly so that your callers are able to understand more easily what is being said.
Don' let background noise do the talking for you. Ambient noise on your recording could be sending the wrong message to your clients. The sound of your kids arguing in the distance could be the sign of a distracting work environment. Clinking glasses and restaurant chatter may leave the impression that you don't take your work seriously. When you record your voicemail greeting choose a quiet spot free from interruption, so your message is the only thing callers hear. It's also good to avoid large, cavernous spaces where sound verberates.
If someone is listening to your voicemail greeting it's only because they intend to leave you a message. Don't make them listen to 3 minutes of rambling in order to do so. Plus, you're more likely to deliver a clean, professional read if you stick to shorter greetings. If more specific information is needed, direct callers to where they can find it on your website.
I have a confession to make: I haven't recorded a new voicemail greeting in nearly a decade. Since then, I've (hopefully) become more articulate, poised, and self-assured. But hear my voicemail recording, and you'd think I was still new to the work world, a little unsure of myself — and probably not an authority.
Open your phone’s voicemail app, then tap (or in some cases, tap and hold) the message you want to save. You should be presented with a list of options; the save option will usually be listed as “save”, “save to phone,” “archive,” or something similar.
Don’t leave customers and colleagues on edge. If you say you’re going to call them back, follow up. If you tend to fall behind in this area, encourage them to email you or reach out in another way. Better yet, learn how to forward voicemail to email so you can access the message anywhere.
2. “Hi! We’re glad you called [company name]. We’re happy to help but we are either on the line with another client or on the go! Please let us know your name, number, and reason for your call today. As soon as we become available, we will call you right back. Thanks!” Ask your callers to leave a short message so you can determine when to return their call.

When you create a professional voicemail greeting, it can be a good idea to think about what your callers might want to know. After doing so, you can make a list of points to cover in your voice message; it might also be a good idea to write out the entire greeting on a piece of paper. The ideal message should be somewhere between 10 and 20 seconds, so you may want to time yourself repeating your message before you record it. After composing your telephone message, it can be a good idea to get a second opinion of this greeting so you can make sure it sounds professional. Writing down a voicemail greeting helps prevent mistakes when recording it.
