As probably know, a professional voicemail greeting can make or break leaving a great impression. However, it all starts with your voicemail script.
Rehearse or write down your message before recording it. Remember that old saying “practice makes perfect?” It’s certainly true when it comes to creating an electronic greeting. The more you’ve rehearsed, the easier the message will be to restate. If you don’t have time to practice, writing down the greeting before recording it – and then reading it aloud from the paper – may help you stay focused on the correct wording.

Cell phone voicemail greetings are generally more personal and casual than office phones. Consider a greeting like “Hello, you’ve reached [your name]’s cell phone. I can’t take your call at the moment, but if you leave a brief message, I’ll get back to you as quickly as possible.”

The simple truth is that you need to be more aware of what you’re leaving for other people to hear. Sure, this doesn’t always register as a priority for users, but it’s never too late to reassess your greeting. a. Reading/Speaking in the Imperfect Tone: Tone is absolutely everything. Users don’t want to come off as being too nice, as it sounds insincere, or being too terse, as it can be interpreted as being rude. That being said, striking the right balance is absolutely essential. Your greeting exists as its own entity, and therefore, it should NOT rely on callers’ familiarity with you. Instead, it needs to appeal to the masses. As such, your inflection, i.e. the way you state your name and directions, needs to be both welcoming and firm. b. Injecting Humor & Insincerity: While humor/light heartedness can be welcoming, it can also convey a sense of informality, insincerity, and ultimately unprofessionalism. Why, because you’re not there to lend your humor or to contextualize. Instead, you’re assuming the caller has a working knowledge of your personality to ground the message. Though this might not sound like it’s all that terrible—it can be detrimental. As stated above, one should NEVER rely on a caller’s familiarity with you. Instead, aim to appeal to the masses. Humor is ultimately subjective, meaning not everyone has the same tastes; therefore, someone is bound to be turned off by a quirky or off-color remark. While implementing a light-hearted or even tongue and cheek tone can work, it’s just a really bad idea.

Remember that Brittney Spears song where you hear her voicemail greeting at the end and she does that fake-out “beeeeep” and says “do yo thang?”
But a few seconds of greetings before voicemail can be really helpful to your business. Professional voicemail greetings can be used for cross-selling your products and services and also divert your customers to your app and website. Your voicemail is important. Keep in mind, this is essentially one of the first impressions the hiring manager will have from you. You need to make sure your voicemail is as professional as possible. Whether you are trying to be funny, trying to show off your singing abilities or shouting in the car with the windows down, chances are the hiring manager won’t be impressed. Go into a quiet room and record a simple, “Hi, you’ve reached Kim Costa. I’m sorry I missed your call, but if you please leave your name, number and a brief message I will get back to you as soon as I can. Thanks!” You really can’t go wrong with this. Trust me when I say that hiring managers probably don’t want to hear your high school’s fight song.
