28. Hello, you’ve reached [your name]. I can’t come to the phone right now, probably because I’ve just stepped away from my desk, but possibly because I’m trapped under something heavy. Leave a message and I’ll call you back within one business day — and if I don’t, please send help.
If you find that your business voice message is running a bit long, break it down into sections and decide which parts you can cut out to reduce the message’s length.
The most professional voicemail message should include a formal tone and specific instructions. For example, you may say “Hello, you’ve reached [your name], [job title] at [business name]. I’m sorry to have missed your call. Please leave your name, contact information, and reason for calling so I can get back to you promptly.”
Ideally, a business should have a complete set of messages for every phase of their call flow from beginning to end. While voicemail greetings are an important part of the phone system, there need to be recordings for everything leading up to the voicemail as well (assuming there are other steps in the call flow).
First, open your mailbox for the first time. To open your mailbox from your telephone: Dial 083210. Enter your area code without the zero and your telephone number eg. 9 123 4567 (this is your temporary PIN). Enter a new PIN and decide whether to have PIN protected access. Press #. Leave your contact info and reason for calling and I'll get in touch then."
If you drone on and on, there is a good chance that some of your callers are going to hang up before leaving their message.
Ensure your inbox is set to receive messages. First thing’s first. Your professional contacts can’t leave a message if your voicemail system isn’t correctly set up or your mailbox is full
