That’s the simple structure of a voicemail greeting. Overall, your greeting should be professional, but the wording can vary depending on the situation. Check out a sample below.
39. Hi, this is [your name]. I’m not at my desk right now, so leave a message and I’ll call you back within 24 hours.

You want this experience to be a positive one for the caller. Make sure your voicemail provides information such as your hours for operation and additional contact information. You’ll also want to address when the caller can expect your call or list other ways they can get in touch should you not answer.
Next to Message Storage, use the drop-down menu to select where you want to store your messages:
1. State Your Business Name. The first thing your callers should hear is the name of your business or organization. This assures them that they have dialed the right phone number and keeps them on the line.
Changes can be made to voicemail settings on the phone through the voicemail options audio menu only after the initial voicemail password has been set up in Account Manager, Work for Desktop, or Virtual Office Online.
14. “Thanks for giving us a call! We promise it’s never a bad time for [company name], but you’ve reached us after-hours. Please leave us your name, number and the best time to reach you and we’ll give you a call when we are open.” Let’s face it, you’re not always open. Yet that doesn’t mean you don’t want to help your caller. Let them know you’ll call them right back when you’re open again.
5. Emergency Situation Voicemail Greeting. In the case that your business is closed due to an emergency, it's only worth it to go into detail if the problem is affecting everyone in the area.
Recording your professional voicemail greeting can sometimes cause apprehension, especially if you have never done so before. You may find it helpful to go to a very private location when you are ready to record, and this can help ensure there is no background noise when you are finished. Take a few minutes to review the list you made earlier, and rehearse the greeting a few times if you are extremely nervous. While you are rehearsing, make sure your speech flows smoothly and you do not use filler words like "uh" or "um". Is Amazon actually giving you the best price? This little known plugin reveals the answer. Professional voicemail greetings should be pleasant in tone to encourage customers to call back later.
16. “Hello, you’ve reached [your name, the office of X company]. The team is currently out of the office, but we’ll be back on [date] stuffed with good food and eager to speak with you. Leave your name, number, and — if you’re so inclined — your favorite [holiday dish, Thanksgiving tradition, etc.]”
