Voicemail will give you a brief description of the three steps involved in setting up your mailbox - setting a passcode, recording a greeting for your callers and recording your name. "Enter digits for your passcode." Your security code may not be less than four digits and no more than fifteen digits. For security purposes the system will not accept codes which are consecutive, sequential or your extension. Voicemail will repeat your passcode to you. Remember to keep this passcode secret and to change it regularly. (We recommend monthly.) "Press D" (the 3 key on your dial pad) to discard your greeting and record it again. When you are satisfied with your greeting and have pressed "X" (the 9 key on your dial pad) to save it, you will hear... "Recording complete." Next, you will record your name so that you and your callers hear your name in your voice. When Voicemail says, "Press D" (the 3 key on your dial pad) to discard your name and record it again. Voicemail will close out your session by reviewing your name and passcode. You are now ready to begin using your new Voicemail. ALWAYS PRESS X (the 9 key on your dial pad) TO EXIT THE SYSTEM BEFORE YOU HANG UP!! Questions or problems with voice mail can be directed to JMU Telecommunications at 568.6471. Expanding on the simple approach above, let the caller know who they've reached. This will not only eliminate people leaving voicemails by mistake, but it will reassure the caller that they have called the number they intended.
You want this experience to be a positive one for the caller. Make sure your voicemail provides information such as your hours for operation and additional contact information. You’ll also want to address when the caller can expect your call or list other ways they can get in touch should you not answer.
Provide as much useful information in your business voicemail greeting. However, be sure to keep it short and concise. An excessively lengthy voicemail can be damaging rather than helpful. Keep your voicemail to around 20-25 seconds maximum.
12. “Hello, you’ve reached the Customer Support department at [company name]. We are unable to take your call at the moment. We know your time is valuable so instead of placing you on hold, let us call you back! Please leave your name, phone number, the reason for your call, and two different times that are convenient for you to receive a call back from us. Thank you!” Get a better idea of your caller’s schedule by asking them for a few different times you can call back. Their time is important, too!
Cox is providing access to the new voice mail platform seven (7) days before the migration to pre-initialize your new mailbox. The above section details types of phrasing to avoid; however, it doesn’t detail what users should NOT say on their greeting. Though this is a bit loaded, as there are hundreds of combinations of things one shouldn’t say, there are some key components users should ALWAYS avoid. a. Forget About Slang: You should strive to be as professional and welcoming as possible in your greeting. While this may steer you towards using slang, in an attempt to make callers comfortable, it’ll most likely work against you. As a professional, your demeanor, tone, and speech should be clear cut and well articulated. Using slang undercuts this and works against you. b. Don’t Even Think About Profanity: This is a no-brainer. Never, under any circumstances, curse in your greeting EVER! c. Keep Your Sentences Clean, Don’t Ramble: Introduce yourself and give your caller specific direction. Avoid long diatribes detailing tangent thoughts. Keep it simple and quick. d. Always Return Your Calls: It’s important for callers to feel they are valued. Nothing dissolves this quicker than a greeting that doesn’t stress this. For example, “I’ll call you when I can,” “If I don’t return your call, please call back”—these phrases are terrible and completely destroy any good will you may have with a caller.
47. Hi, this is [name], [company]’s [job title]. I’m happy to help you with [task], but I’m currently away from my phone. Leave a quick message and I’ll return your call as soon as I can. Thanks!
30. Hi, you’ve reached [your name] at [your company]. I’m unavailable right now on official duties. But if you leave your name and number and a brief message on why you are calling, I will call you back at the earliest opportunity.
Good professional voicemail greeting examples. A business named Lorem Ipsum, which sells widgets, wants to leave a brief message that confirms for the listener that they have called the right business. The message would also prompt the caller to provide information needed …
And remember, while you’re busy returning your calls, Blitz can be automating other parts of your sales process. We can assign leads to your staff or even send emails to your customers.
