Auto-attendant Script for After-hours Calls. Most business phone systems let you set working hours. If a call happens outside normal business hours, you can create a specific auto-attendant that’ll handle those calls with an alternative greeting message and menu options.
If all this is starting to sound like more trouble than it's worth, remember that turning your PBX into a software solution means a significant opportunity for flexibility and integration that you simply can't get any other way. After all, programmers can now treat your phone as an app. Where that's taken us is to the fast-changing UCaaS paradigm mentioned above. Here, VoIP providers, like the ones we've reviewed, provide additional software capabilities that are all implemented and managed from a single, unified console.

Business phone systems usually allow companies to create as many voicemail boxes as they need. A business might have a company-wide voicemail, one for each department like Sales, Marketing, and Support, and many others for all the individuals in those departments. Only an enterprise voicemail service is capable of handling this task properly.

Of course, there are a few things you will always want to keep in mind when you are recording any message. First, a voicemail greeting can be your first impression, so you'll always want to take the time to think about what you'll say when you record it. You might want to write a script or just go over what you'll say in your head. Be sure to ask callers for their name, a message, and a call back number, or you might get stuck with "Hey, it's me, call me back" (I'm notorious for leaving messages like this). Be sure you practice speaking slowly and clearly as you deliver your short, to the point message. It's also a good idea to leave 1 to 2 seconds of silence before you begin speaking, so callers have time to absorb your message. When making an investment in a new phone system that needs to integrate with other systems, the Switchvox system makes the most sense. Regardless of how your business changes and grows, your initial investment is always protected. Using standard IVR/XML scripting, you can easily connect your database and create steps to take your caller almost any direction you can dream without having to know anything about phones or phone system software! For example, a school might offer parents a custom absentee line to quickly report student absences or a company may route new callers to sales people but existing clients are routed directly to a customer success team automatically based only on the Caller ID.
Play a message with important information you'd like to convey to customers. For example, a pre-recorded message can be used to relay business hours, office location, company website, email, special sales, promotions, company events, or general updates about your business. Again, you may use your own voice, use our advanced text to speech technology, or upload an MP3 file.
If you want to communicate a sense of professionalism to your potential clients, you’ll need a business number. No arguing there. But what good is having a business phone number if the connection is bad? We always take call quality into consideration when doing our virtual phone system reviews.
Context does matter here. If the caller would reasonably expect you to answer the phone (such as if they were calling a store or other place of business), an apology for not being able to get to the phone makes the most sense.
15. “Hello, you’ve reached the Sales Department at [Company name]. All of our representatives are currently helping clients [insert goal such as, ‘achieve 40% growth through streamlining HR’] and are unable to take your call. Instead of putting you on hold and taking up your valuable time, please leave your name, company, and phone number and we’ll give you a call back ASAP. Thank you!”
By presenting a clear, welcoming message containing relevant information about your business, you are showing callers that you value their time. If your recording is vague, confusing, or drags on, customers will lose interest and hang up the phone instead of leaving a voicemail message.
