Practice makes perfect, and the same applies to reading and making your business voicemail calls. Before making those calls, give the call agents or representatives of your company time to rehearse. Let them go through the script a lot, so they’re familiar with the words. With enough time to practice, your call representatives can also make their own notes on the scripts to be guided and to avoid any monotony.
How you communicate with customers is vital to the survival of your business. Choose a reliable phone system for your office, so your customers can always reach you. In the event of inclement weather, you can route calls to your cell phone, too.

If you want them to leave a voicemail, tell them right from the beginning, “Please leave your name, reason your calling, and the best way to contact you.” If you want them to call you back during normal business hours, tell them, “Please call back during normal business hours.” If you want them to call back prepared for a lengthy conversation, you can say something like, “Please refer to our website’s FAQ page,” and then provide the URL. Self-service should never be underestimated.
After hours, though, it could be easier to send callers directly to a central voicemail box. This can work well for a small business that won’t need to field a lot of late-night calls.
