Fortunately, there are steps you can take to improve your business voicemail greeting that will delight everyone who hears your “new and improved” greeting. Identify your name and your company name. The last thing you want is to miss an important voice message. But the truth is many callers are more likely to hang up if they aren’t sure whether they’ve contacted the right person or business.

So, for example, a softphone can combine a telephone conversation with text chat and screen sharing, which means a conversation between two employees can seamlessly add more participants, handle private text chats between those participants while the call is still going on, and extend to a collaboration session in which the group shares screens, documents, and data—no prep, no reserved lines, just button clicks. In the case of a CRM integration, the system could recognize the customer's phone number or some other identifier and automatically pull up that record for the technician or salesperson answering the call. It can even alert a manager to monitor the call if it's an especially important client.
Callers aren’t going to spend time sitting through a menu that doesn’t let them, at the very least, leave a voicemail. If a caller knows their party’s extension number, an option can, and should, be “Press 1 to leave a voicemail,” or something along those lines. That way, clients can feel as if they’re expressing their concerns without needing to talk to an agent, and without the agent feeling sorry they couldn’t pick up while they were working on something else.
