If you are recording a voicemail message for business, be sure you include your name and your company's name, so people know who they are calling and were they are reaching them. If you do not include the business name, they may think they have mistakenly called you at your personal number. You will also want to make sure to give callers the option to speak to someone who is currently available, an operator or other representative, by pressing a certain key (check with IT personnel to see what this might be).

A business voice mail should have several ingredients that inform. Include the name of the person whose extension was dialed, the company’s name and the department. Invite the caller to leave a message; often the caller does not realize she has reached voice mail.
The biggest reason voicemail has become so passed? There are just better, faster, more convenient ways to get a message to someone: like via text, iMessage, or WhatsApp. Voicemail also takes a relatively long time to access. You can quickly glance a text message, but with a voicemail you often have to log into to retrieve the message and then listen to the sender ramble for dozens of seconds about something they could have conveyed in a text message that takes two seconds to read.

If you are a therapist’s office, then you’d need to include an alternate number in case a patient is having an issue and requires immediate help. Again, this will vary depending on the business. Here, a therapist would definitely request the caller leave their contact information. However, a retail store chain might not request that. There are also complex voicemail systems such as those used by mobile phone services, which ask you to press a certain number on your phone, where you are asked to leave your account information. Again, as you can see, it all boils down to the demographics of your callers, and what you need from them to conduct the best business possible. Depending on the situation, your caller might be in a good mood or not. In either case, they’ll probably be eagerly awaiting your call. So, it stands to reason that you only promise them a call back if you can deliver. In other words, if you’re a small shop and you’ve decided to close due to a much-needed sabbatical, then don’t leave a voicemail greeting where you promise them to call right back. However, if you have an active customer service staff, then you can promise to return their call within the same day.
A phone message template can be an excellent way to record messages received from various phone calls that come into your business. Knowing how to use your phone message template effectively can go a long way in this process. Nevertheless, the advantages of using a good phone message template cannot be emphasized enough.
