Voicemail will give you a brief description of the three steps involved in setting up your mailbox - setting a passcode, recording a greeting for your callers and recording your name. "Enter digits for your passcode." Your security code may not be less than four digits and no more than fifteen digits. For security purposes the system will not accept codes which are consecutive, sequential or your extension. Voicemail will repeat your passcode to you. Remember to keep this passcode secret and to change it regularly. (We recommend monthly.) "Press D" (the 3 key on your dial pad) to discard your greeting and record it again. When you are satisfied with your greeting and have pressed "X" (the 9 key on your dial pad) to save it, you will hear... "Recording complete." Next, you will record your name so that you and your callers hear your name in your voice. When Voicemail says, "Press D" (the 3 key on your dial pad) to discard your name and record it again. Voicemail will close out your session by reviewing your name and passcode. You are now ready to begin using your new Voicemail. ALWAYS PRESS X (the 9 key on your dial pad) TO EXIT THE SYSTEM BEFORE YOU HANG UP!! Questions or problems with voice mail can be directed to JMU Telecommunications at 568.6471. Important: Due to HIPAA policies and guidelines, all BAA users cannot have the contents of any voice message sent through e-mail, however they may be notified of new messages through e-mail. Departmental and MPhysicians accounts do not have the ability to log into the Voicemail Portal. 1HELP personnel may use Clearspan to configure voicemail to email for the caller. If the caller would like to send an email to multiple addresses, they may forward voice messages to a Google Group. Log into the Web Portal. If you are off-campus, you must connect to Split Tunnel VPN to access the Clearspan Portal. Click on Messaging in the Options menu on the left. Once on the Messaging screen select the option for Voice Management where you will have two options for setting up voicemail to email: If you want to strictly get your voicemail within your email (recommended) in the middle section titled "When a message arrives..." choose "Forward it to this email address:" and then put your email in the box. If you want to get a copy of the message both on your phone AND in your email leave the middle section alone and go to the bottom under Additionally... and choose E-mail a carbon copy of the message to and then put your email in to the box. Be careful here, though, as you'll still need to log into your phone to delete any messages you get this way! NOTE; "Use Phone Message Waiting Indicator" box is selected to notify user that a new message has arrived and requires attention. This will illuminate the voicemail light on the phone. - check the box for "Notify me by e-mail of the new message at this address" and fill in the email address. Once you have made the desired changes click the Apply button at the top or bottom of the screen to finalize your changes.
