Let your callers know although you might be enjoying one too, that their needs are important.
One of the things that can irritate the customer or client is when they come to a meeting without knowing what to bring along. Your business voicemail greetings can be a way for them to know the documents they must come with so that they do not waste their time.
When someone reaches your voicemail, it’s important that you help them confirm that they have reached the right person by providing all of the relevant information that they will need. Who have they reached? Did they contact the right person and the right business? Should they leave a message? When will you get back to them? Is there a better time for them to call?
A relatively unprofessional one — like mine, for instance — does the opposite: It encourages prospects, recruiters, and potential connections to run in the other direction.
1. Keep it professional. When you're answering the phone at your office, you don't always know who's on the other end of the conversation. Answering the phone professionally will start whatever conversation you are about to have get off on the right foot. When in doubt, answer with a simple "Hello, this is Carl." Even if you have caller ID, it could be your boss calling from a colleague's phone! Answering the phone with "Yeah, what?" may give people a negative or overly-casual impression of you.

Lines can often get busy for companies that have several representatives. This reassures clients that someone will get back to them once they are free.

When you call 321 from your mobile, you’ll be asked to type the PIN into your phone and record your name and personal greeting (that’s what people will hear when they call through and can’t get back to you, so make it catchy).Once your greeting has been set, we’d recommend changing your Voicemail PIN to something more personal so you can easily access your Voicemail settings in the future. You can do this through the user options area of 321 (that’s option number 8 on the main menu).Your PIN can be any series of numbers between 4 & 9 digits, provided they are not sequential (e.g. 5678) or aren't a series of repeated numbers (e.g. 111).
If you’re going to be out of town for a few days, don’t change your outgoing message to include this information, as it could alert callers that your home is empty and make it a target for break-ins.
10. Hello, you’ve reached [your company]. We’re sorry to have missed your call. Please leave a brief message including your name, number, and reason for calling and a member of our team will get back to you within one business day.
17. “Happy Holidays from [company name]. Our hours are a little bit different this holiday season. [List hours]. We hope it’s not an emergency, but if so, we’ve got you covered. Contact us at [company email/other support lines] and we’ll get back to you ASAP. For all other inquiries, we’ll contact you when we are back from the holiday – we might be a few pounds heavier but eager to speak with you! Happy Holidays.” Things happen during the holidays, we know. Let your callers know you are still there just in case!
