The basic rule of thumb is that callers should hear one of two things when they first connect with your voicemail — either an apology for not being able to answer the call or a “thank you” for having called. You can do both if you prefer, but keep it short and to the point.
– Thanks for calling. This is (name). Today is a Friday and I am working from our corporate office. If you need to reach me immediately, please call (number). Otherwise, please leave me a message and I’ll return your call as soon as possible.
In short, more often than not, voicemail greetings feel bleak and boring to callers. If you’re a business, boredom is an awful way to start off the conversation with potential customers. Since the attention span of a human being fluctuates around 8-10 seconds, filling them up with a standard voicemail greeting is the worst idea you can have.
No one should be calling during the holidays, and yet some people do. When you’re out for the holidays, create a voicemail greeting that communicates the cheerfulness of the season while still staying professional.
A busy greeting should tell callers that your phone lines are currently in use. You can direct people to wait on hold or leave a message. For example, “Hello, you’ve reached [company name]. Our representatives are currently helping other customers. Please stay on the line to speak with the next available team member, or press one to leave a message and we’ll call you back.”
Expand your opening to with 'Thank you for calling [insert company/individual name]' or 'You've reached the voicemail of [insert company/individual name]'. This personal touch goes a long way towards building a rapport even when you're not available to answer the call directly.

Before you even begin to draft and implement business voicemail greetings, your pain points need to be identified. For example, if you’re upset that clients aren’t leaving enough context on a voicemail, make sure you’re clearly stating what needs to be in the voicemail. If your clients are unfamiliar with how your business operates and keeps calling during off-hours, identify what time is best to call and say you’ll respond to messages first thing in the morning.
