Recognize Their Need. When someone calls your business, the voicemail should give them a sense of validation. This means that your voicemail should extend gratitude for their interest in your business, or an apology for not being there to answer your call. These two simple courtesies can go a long way in the creation or establishment of client/business trust. Make it Informative for the Caller. Your voicemail must include all the information the customer will need for your particular business. For instance, if you’re a brick and mortar establishment, it’s wise to include your store hours. It’s also a good idea to leave them an alternate way to contact you, especially if it’s after hours. After all, you don’t want to miss just one potential customer. Here are some suggestions for elements to include in your voicemail: Business name Hours (if brick and mortar) Alternate method of contact, such as email Your name
When on vacation, provide your callers with a return date and a back-up contact person to accommodate emergencies. This prevents you from potentially damaging a valued relationship while you enjoy some time off.

This should be done by providing the department name as well as the person’s name answering the call. This also allows the caller to note who they left a message with.
If I’m not available, just leave me a voice mail. Again, either way, it will be good to know what’s going on. Thanks in advance for that, and I’ll look for your call. You can reach me at (your number). That number again is area code (your number). Thanks ________.”
The above eight rules of engagement for voicemail greetings may sound easy enough, but they’ll require some practice to get just right. Let’s look at some examples to provide some context in how to apply the rules to various types of greetings and situations.
Another great thing you can do in your voicemail messages is to leave a few spaces for your prospects to record their message, most of the prospects will do it because they know they will be reached out sooner given the situation of their need.

While covering all of the relevant information, aim to keep your voicemail to about 20 seconds. You definitely should not ever record a business voicemail longer than 30 seconds, and anything less than 10 seconds will typically mean that you are either speaking too quickly or aren’t providing all of the required information.

Part of my issue is that I really probably do need the NHS and local gov't to be able to leave me voicemail (not least because the NHS isn't set up to deal with e-mailing patients, at least not where I am at the moment), but for pretty much everyone else EVER I will call them back much sooner if I don't have the mental hurdle of voicemail first (where the fundamental difference is that by and large the NHS & gov't don't give a shit if I call them back...). So uh. Yeah. :-/

Don’t give up when you don’t receive a call from lead you’ve reached out to. You will need to make at least a handful of calls, plus emails and texts, over the next couple of weeks to maximize your chances of speaking to the lead. You may find that leads don’t want to speak directly to you but will communicate through text or email. No matter the avenue of conversation, consider it a win when they start conversing with you through any form of communication. Be persistent. If you don’t hear from them after weeks of effort, nurture them through a drip email campaign. All of the effort you put forth to reach out to the lead may not result in an immediate response but, they may call you in six months and that is a win.
