This post will start with a few quick rules-of-thumb to help you create a professional and effective call menu. If you don’t have time for my rhetoric, then please feel free to skip down to the good stuff. When labeling menu options, be concise and get to the point. Like a voicemail greeting, a good menu prompt immediately tells the caller where this option will send them and quickly states
Don’t include the date unless it’s completely necessary. 16 of the messages I heard last month had the wrong date—one of the messages had a date over 2 months old!
“Hey there! This is [name] at [XYZ company]. Thank you for calling. I can’t take your call right now but if you leave your name, contact info and reason for calling, I’ll call you back right away. Take care and speak with you soon!”
3. Be mindful of your voicemail message. You need to confirm they've reached the right place, that the message will be confidential (make sure it is) and what you want them to do next.
State your name clearly so the caller knows they have the right number. 3 of the messages I heard last month were missing his/her name.

If I’m your best friend, that’s not a problem. But otherwise, I have no idea if I’m leaving a message for the right person or not. Was that his voice? I couldn’t tell. It kinda sounded like Micheal Cera. Did I accidentally just call Michael Cera’s phone? “Hey if this is Alex, it’s Bryan Allain…call me back. And if this is Michael Cera, loved you in Year One. Keep it Brief. Time is money in business, so if your voicemail is long, chances are the caller will simply disengage before the cue to leave a message even sounds. Keep your voicemail short. The most should be around 30 seconds, and even that’s pressing it. We’ve grown into a country where our attention span can last only about 10 seconds in some cases, so keep it short, brief and to the point. Persuade and Engage the Caller. If someone calls your business, they already have an intention. It’s the quality of your voicemail that plays a factor if they consider you a company they’d like to deal with. This is your chance to motivate someone to engage in a meaningful conversation with you. If your voicemail is shoddy, chances are they’ll hang up, or lose motivation to continue the call. In other words, your voice mail must engage and entice someone to the point that they care enough to leave you a message.
Now this is set up I won't feel bad about summarily ignoring voicemail letting agents leave me ;)

Whether you are a solo therapist recording a voicemail greeting, or you have a whole office and need a system message, don't just wing it! Take the time to actually write out a script. Read it aloud to colleagues to make sure it says what you need it to say. Make sure to identify what your service is, to ward off any callers who aren't sure they've reached the correct person.
