After helping tens of thousands of companies set up voicemail systems, we’ve learned that there is no set of rules defining what makes a great business voicemail, but there are definitely some key points that you should aim to hit. Before you hit the record button for your voicemail message, take some of these tips into account:

Business voicemail greetings are rarely thought of as a prime way to connect with customers. But just because you're not available doesn't mean you can't make a positive impression on your customers when they reach your voicemail box.
Hello. Oh hi, how are you? It has been so long. How have you been? We have to meet this weekend. How about I call you around… beep.
Your message should be 20 seconds at most. Remember, your clients or co-workers may listen to this dozens of times.
Cell phone voicemail greetings are generally more personal and casual than office phones. Consider a greeting like “Hello, you’ve reached [your name]’s cell phone. I can’t take your call at the moment, but if you leave a brief message, I’ll get back to you as quickly as possible.”
Voicemail messages that are deleted have the same theme – each of them is trying to sell something or get an appointment with the customer. What the listener hears is a monologue as you describe who you are, where you work, what products/services you offer, plus the features and benefits of it.
Oh lord…is it you…again? Well, if you must, leave a name and number after the beep. I’ll try to return the call, if I can stand it, that is.
16. “Hello, you’ve reached [your name, the office of X company]. The team is currently out of the office, but we’ll be back on [date] stuffed with good food and eager to speak with you. Leave your name, number, and — if you’re so inclined — your favorite [holiday dish, Thanksgiving tradition, etc.]”
And for the prospect or client that seems to be dodging you or just not calling you back:
You need to have scripts before people start calling you. You need 3 types of scripts in your practice. The “I’m on the phone with a potential client and another new client call comes in” Script. The Voicemail Script. The “Booking the Client” Script. A script is essential in improving confidence when dealing with new clients.
If you have a business VoIP phone system that offers an auto attendant feature, you should be able to create a phone menu fairly easily. Be sure to state which key the caller should press to select an option on the menu.
