1. Actually Write a Script! Whether you are a solo therapist recording a voicemail greeting, or you have a whole office and need a system message, don't just wing it!
If I’m your best friend, that’s not a problem. But otherwise, I have no idea if I’m leaving a message for the right person or not. Was that his voice? I couldn’t tell. It kinda sounded like Micheal Cera. Did I accidentally just call Michael Cera’s phone? “Hey if this is Alex, it’s Bryan Allain…call me back. And if this is Michael Cera, loved you in Year One. You may also call me back.”

If your business is off for a holiday, it's a common courtesy to update your voicemail to acknowledge the closure. Mention the closure in the beginning of the message, convey when your business is reopening, and don't forget to wish the callers a happy holiday if the occasion calls for it. If you're away from your office, check your voicemail remotely to keep up with incoming messages if necessary. Or get voicemail to email capabilities set up on your phone system. Don’t give up when you don’t receive a call from lead you’ve reached out to. You will need to make at least a handful of calls, plus emails and texts, over the next couple of weeks to maximize your chances of speaking to the lead. You may find that leads don’t want to speak directly to you but will communicate through text or email. 2. Be Unique. Your business is creative and different, so shouldn’t your voicemail be, too? Generic greetings like, “I’m away from my desk right now, but I really value your call.
To set up voice mail, tap the Phone icon, tap the Voicemail icon and then "Greeting.". There are two options available: Default and Custom. If voice mail hasn't been set up previously on your phone, Default is selected, which means people will hear your wireless carrier's generic voice mail greeting when they call you.
You may also email the [insert office name] at [insert office email] this email is being monitored between 8:30 a.m. and 4:30 p.m., Monday through Friday.
A busy greeting should tell callers that your phone lines are currently in use. You can direct people to wait on hold or leave a message. For example, “Hello, you’ve reached [company name]. Our representatives are currently helping other customers. Please stay on the line to speak with the next available team member, or press one to leave a message and we’ll call you back.”
Please leave your full name, contact details and reason for calling and I will call you back as soon as I’m back. Thanks for calling!”
