1. Limit Background Noise. If you’re recording your greeting from the back of a New York City cab with the windows down, it’s gonna be pretty obvious to your callers.
If you're using an in-house system like AT&T, Mitel, Avaya, etc., I'll create the phone greetings to input into these type of systems. However, if you'd like to leave us a voicemail we will get back to you within [for example] 30 minutes of receiving this message. Alternatively, if you'd like to reach out by email you can do so at [insert email address]. Again, thank you for calling [insert company name]. We look forward to your message.'
Hi! This is (insert name and title.) My apologies, but I’m away from my phone until (insert date.) While I’m …
There's no single best way to craft an after hours greeting. The most important point is that you equip your customers with what they need to know, and give them an avenue to contact you, whether that's through voicemail, email, or other channels.
If I’m your best friend, that’s not a problem. But otherwise, I have no idea if I’m leaving a message for the right person or not. Was that his voice? I couldn’t tell. It kinda sounded like Micheal Cera. Did I accidentally just call Michael Cera’s phone? “Hey if this is Alex, it’s Bryan Allain…call me back. And if this is Michael Cera, loved you in Year One. You may also call me back.”

"[Auto-attendants] assist a business of any size in presenting a more organized, efficient, and, if necessary, more robust picture of itself,” points out Brandi Armstrong, Co-Founder of Telecentrex and blogger on evancarmichael.com. There are plenty of options for business voicemail messages, including professional greetings, casual messages, and even funny ones. Consider your brand voice and target audience to choose the tone. And include directions for those who call.

“Gracias por llamar al escritorio de (ingrese su nombre) al (ingrese el nombre de su compañía). Estoy en una llamada o lejos de mi escritorio, pero si deja su nombre, número de teléfono y el motivo de la llamada, le devolveré la llamada lo antes posible. Gracias.”
Rather than waiting for a callback, open up additional channels of communication with your callers by inviting them to email. The most professional voicemail greetings often include an alternative method of communication.
04You have reached the offices of [your company/business]. Our representatives are all currently engaged. If you leave us a message with your name and number, we will get back to you in the earliest possible time. Thank you for calling and have a good day. Lines can often get busy for companies that have several representatives. This reassures clients that someone will get back to them once they are free.
For example, a message like, “Hi, this is Jim. You know what to do.” Well, not everyone is going to know what to do—i.e. they won’t leave you inclusive information. Additionally, they may not leave you a message at all. Aside from this, humor can again be detrimental to your message, this time lending itself to ambiguity and costing you clarity. For example, if a message read, “Hi this is Jim, sorry I can’t answer your call right now. Please leave your name and number and I’ll call you as soon as I can, but you already knew that right? Do I need to tell you what to do?” This is worse than the previous example as this is confusing and can also come across as rude and unprofessional. Complicating a greeting with phrasing like this is sure to cause some harm. e. Ignoring Personality & Identity: Don’t use computer generated greetings. Some users leave default messages (‘you’ve reached the voicemail box of 777-777-777, please leave a message). Believe it or not, even this can cause problems. Callers may be unsure if the voicemail box belongs to you; therefore, they don’t leave a message. Also, some may even be uncomfortable leaving information through a message in a nameless voice message box. As such, impersonalization can cause ambiguity, which again can hurt the effectiveness of your voice message system. This doesn’t mean you have to make an elaborate greeting if you don’t want to, just insert your voice and name so at least callers know they’re calling the right person.
4. Friendly and professional. Remember, first impressions count so you want to sound both warm and professional. When you record the message, stand up (this will make you sound more confident) and smile (this will soften the voice and make you appear warm).
