Part of my issue is that I really probably do need the NHS and local gov't to be able to leave me voicemail (not least because the NHS isn't set up to deal with e-mailing patients, at least not where I am at the moment), but for pretty much everyone else EVER I will call them back much sooner if I don't have the mental hurdle of voicemail first (where the fundamental difference is that by and large the NHS & gov't don't give a shit if I call them back...). 8. Let Your Callers Know What To Tell You. This tip is more for you than your callers. It’s particularly helpful if you need more information than the standard name and phone number.
State your number right after your name. Many people wait until the very end of the message to state their number. This will irritate the receiver of your message because if he doesn’t get it down, he then has to sit through the whole damn message again to hear it repeated.
You've reached [name]'s voicemail. If you need to get a message to me, if possible please send a text, or send an e-mail to [e-mail address], rather than leave voicemail. I'll get back to you as soon as possible. Again, please text me, or send an e-mail to [e-mail address].
The above eight rules of engagement for voicemail greetings may sound easy enough, but they’ll require some practice to get just right. Let’s look at some examples to provide some context in how to apply the rules to various types of greetings and situations.
5. Holiday Voicemail Greetings. Happy [X holiday]! You've reached [your name] at [X company]. I am currently out of the office, but please leave me your name, phone number, and the reason you are calling, and I’ll return your call after the holidays.
Hello, it’s obvious you have bad timing, because nobody is home. Please leave your name, telephone number, and a brief message in a voice similar to mine, and your call will be returned as soon as humanly possible.
Expanding on the simple approach above, let the caller know who they've reached. This will not only eliminate people leaving voicemails by mistake, but it will reassure the caller that they have called the number they intended.
Writing a script doesn’t mean you have to write a speech. A simple greeting is fine, like this sample voicemail message:
