The basic rule of thumb is that callers should hear one of two things when they first connect with your voicemail — either an apology for not being able to answer the call or a “thank you” for having called. You can do both if you prefer, but keep it short and to the point.

If you only check and return messages once a day or once a week, let your caller know. This will avoid multiple messages by the same caller.

Callers to your mailbox may hear one of two greetings: an external greeting for callers outside of MSU-Northern, or an internal greeting for MSU-Northern callers. If you record only an external greeting, then this greeting will be played to both internal and external callers.
“Hey! You’ve reached us here at [XYZ company]. All our team is currently out of the office for the holidays. We’ll be back to work on [date] well-fed and therefore eager to speak with you!
Open your voicemail greeting with a 'Thank you for your call. We're not available right now by please leave your message and we'll get back to you within [specify time]'.
Remember, your message is a reflection of you. Keep it short, professional and ALWAYS return messages.
21. Hello, you’ve reached the Sales Department at [X company]. We can’t take your call right now, but please leave your name, contact information, and the reason for reaching out, and one of our team members will be in touch within 24 hours.
I am not in the office today; I may not be in tomorrow. I may be in to work sooner, if you gave me your car to borrow.

3. Department Wide Voicemail Greeting. This voicemail greeting should list the name of the department, the hours of operation or the whereabouts of your personnel, the protocol for following up with the customer, and another way to get in touch with the department.
