Most callers expect their call to be answered. Once they realize that your office is currently closed, the most important piece of information they probably want to know is your standard business hours.
We have collected 10 of the best voicemail greetings for business applications that we could find. Our goal is to demystify this tricky form of communication, which we detail at the end of this post. But first, it will be useful to go over some general suggestions to keep in mind if you plan to write a voicemail greeting for your business.
9. Hi, this is [your name], [your job title] at [your company]. Hello, and welcome to Answering Machines of the Rich and Famous! (your name here) can’t come to the phone right now, because he’s spending the week in his beautiful summer home on the French Riviera…
15. Hello, you’ve called [X Business Name]. We are currently closed. Our opening hours are [State opening hours]. (make a little noise in the background). Hi, you’ve reached your friend’s house. He/she isn’t home right now and I took the opportunity to rob it. I was about to steal the machine as well and you called. After the beep, leave your name and number. I will write it on a post-it and leave it on the refrigerator for him/her to see. Oh and one more thing; where did you say you lived?
A professional voicemail greeting is a recorded message that welcomes callers to your business when no one is available to pick up the call. For a polished call experience, the greeting should reflect who the client is calling – whether a general business number, department, team, or individual – and when the customer can expect the call to be returned.
4. Call your Comcast, XFINITY, or cable phone voicemail by dialing *99. Keep in mind that this only works if you are calling from your home phone. You will then enter your password and have access to your voicemail. Some modern phones allow you to just click the voicemail button on your machine and then enter your password. If calling from a phone not associated with your voicemail, dial your home phone number first and then hit the pound (#) key when the automated greeting starts. Enter your password at the prompt and you should be allowed access to your voicemail.
A word of warning: These greetings will not do you any favors if you’re in the midst of a job hunt or work in a conservative industry. Always remember your target personas. If there’s a chance they won’t appreciate your sense of humor, opt for a straightforward greeting instead. “This is Bond. James Bond. Okay, it’s really [your last name]. [Your first name] [your last name]. I’ll get back to you as soon as I’m done helping M16 save the world — which will probably be tomorrow at the latest. Have a good day.” “Hmm. Gryffindor … No, Ravenclaw. Yes, you definitely belong in Ravenclaw. *Pause.* Okay, you haven’t reached the Sorting Hat — it’s the voicemail of [your name]. Please leave your name and number (and just for fun, the Harry Potter house you think you belong in) and I’ll return your call as soon as possible.” “Hello! You’ve gotten the voicemail of [your name]. Leave your name, contact info, and the answer to the eternal question ‘Which came first, the chicken or the egg?’ Anyone who gets it right will receive a call back.”
If you use one, your automated phone system is the first point of contact a caller makes with your business. You want to make the best first impression. Instead of a complex series of robotic instructions, choose a friendly, warm voice offering simple phone prompts to guide the caller to the person or information they’re looking for.
Sorry I wasn’t able to take your call, but please leave your name and a detailed message and I’ll get back to you.
47. Hi, this is [name], [company]’s [job title]. I’m happy to help you with [task], but I’m currently away from my phone. Leave a quick message and I’ll return your call as soon as I can. Thanks!
