Your voice mailbox has six types of greetings. The two greetings most users set are: The Standard greeting that callers hear before they leave you a message. Press 4 to play all your greetings.

Do you speak a second language and serve customers in an area that primarily uses a language other than English? Make it known that you speak both languages. Start the voicemail with the most dominant language spoken in your market followed by the same message spoken in the secondary language:

Put some thought into your message before you hit “record.” It takes very little time to write a script for yourself to read as you record your greeting. Reading off a script eliminates unnecessary pauses, “ums” and “ahs.”

You can set when you would like to send callers to your voicemail. For example, you may want to send all calls to voicemail when you know you’re going to be out of the office and not taking phone calls. 1
