I have a confession to make: I haven’t recorded a new voicemail greeting since 2014. In the past four years, I (hopefully) have become more articulate, poised, and self-assured. But hear my voicemail recording, and you’d think I was still new to the work world, a little unsure of myself — and probably not an authority. Obviously I need toupdate it. And if you haven’t changed your voicemail greeting in over a year, you’re likely in the same boat. After all, a professional voicemail recording boosts your credibility, makes you seem more competent, and encourages whoever’s listening to it to continue the relationship. A relatively unprofessional one — like mine, for instance — does the opposite: It encourages prospects, recruiters, and potential connections to run in the other direction. With that in mind, I’ve written 18 unique voicemail greetings for every situation. Pick your favorite, practice a few times, then record your new voicemail.

Identify Yourself—I believe identifying yourself through your voicemail greeting shows respect to everyone who calls you. It allows your callers to confirm they have dialed the right number. When people don’t include their name in their greeting, it leaves me wondering if they have something to hide. I have seen this to be true far too often.

Rollover Hunting is a feature that is managed by the Account Manager or Phone Manager. It allows incoming calls to your primary phone line to roll over to the next available line and, if al l lines are busy or not answered, the call can roll over to voicemail. Therefore, as a rule of thumb, it has been advised that business professionals should return calls within 24 hours. If for any reason a prompt callback is not possible, for instance, if it is known that the call may be lengthy and the individual does not have time to talk until another day or so, they should still leave a brief voicemail message to acknowledge receipt of the call and advise when they anticipate being able to have the discussion. Additionally, voicemail messages should be checked at least once a day, if not more.

Show that you’re human! Not everything in business needs to bland and boring. Add some personality to your voicemail while still maintaining professionalism. Block incoming calls from up to 32 selected phone numbers as well as all callers who do not show their Caller ID information. Those callers can dial *82 to allow the Caller ID information to show when calling your number while this feature is active.

Mailbox greetings play when a caller reaches a user's mailbox. There are two greetings: one that plays when the user's phone is busy and the other when they don't answer or when they have their phone in Call Forwarded Always to voice mail. The default no-answer greeting plays a message recorded by the user. A typical user-recorded greeting would identify the user and inform callers that they are unable to answer their call� example: "Hello. You have reached John Doe. I am in today but missed your call. If you would like, please leave your name, telephone number and message at the sound of the tone and I will return your call as soon as possible. Thank you."
