Since I pride myself in being responsible, if I don’t receive a return call I have to assume I wrote down wrong number. If I were irresponsible I would just blow it off and not care. But if I wrote down the wrong number I have a responsibility to get a hold of this person. This extra work combined with wondering if it’s the right number, leaves a bad taste in my mouth.

You don’t have to spell out every single thing that you think they might want to know. Have some faith that your callers will be able to figure things out on their own. Be natural but informative.

Avoid playing music and the long message greeting. People don't have the time nor the patients to sit through a storybook greeting. They simply want you to return their call as soon as possible.

Finally, you can mention your name in the recording. This is a good idea if your calls are still coming into a cell phone. If you’re on a first name basis with all your customers, it adds that extra personal touch to include your name in the voicemail. If you’re not on a first name basis, but you’d like to be, then use your name to encourage customers to use it!
