When you receive a voice mail message, the message appears in your Outlook Inbox. Go to your Outlook Inbox. Open any email with Voice Mail in the subject. Click the blue play button to listen to a message.

Do you have a landline at work? Make sure that all your phones, personal and business, have good clear, professional English voicemail greetings.

Avoid too many promises – Avoid promises you can not keep – in this case, dates and timeframes for when you will 'definitely' return calls.

With this in mind, you can leave some helpful suggestions within your voicemail recording; for example, the opening hours of the business and the FAQs section to the company website.

If someone is listening to your voicemail greeting it's only because they intend to leave you a message. Don't make them listen to 3 minutes of rambling in order to do so. Plus, you're more likely to deliver a clean, professional read if you stick to shorter greetings. If more specific information is needed, direct callers to where they can find it on your website.

Whether it’s an out-of-stock product, a canceled event, or social media snafu, there are times when your business may see an influx of frustrated callers. While it is important to address their concerns head-on, you may not be able to answer each call as it’s received. Make sure you use best practices for dealing with angry customers, and that your voicemail greeting sets the appropriate tone. Avoid defensive language, validate their concerns, and keep them informed as to how you are handling the situation.
Microsoft’s 2015 Global State of Multichannel Customer Service Report concluded that the telephone is still the most-used customer service channel in the United States (81%), followed closely by email (78%). And with so many consumers still picking up the phone, voicemail may still be necessary.
If someone takes the time to call and leave you a voice message, they usually have a reason that they are calling. It does convey a certain level of interest when someone is willing to hop on the phone with you. If they were less interested, they would probably send you an email or fill out a form on your website.
If you are going to be unavailable for a predetermined time, let people know. Example, if you are on vacation for the next two weeks, inform your callers in your greeting that you will be returning calls on such and such date. This way they expect it to take a couple of weeks before you get back to them instead of stewing over why you haven't returned their call.
